Metro Paws Animal Hospital reduces liability with ScribbleVet

How Dr Rebecca Donaldson's system produces the most complete and efficient AI notes at her clinic

Dr. Rebecca Donaldson is a veterinarian and partner at the Metro Paws Animal Hospital group of clinics in Dallas, Texas. The group is part of Innovetive Petcare, which operates a network of 82 veterinary practices across the southeast US. Facing significant challenges with timely medical documentation, Dr. Donaldson implemented ScribbleVet to streamline documentation, improve record completeness, and increase work-life balance. ScribbleVet has also been adopted by several other practices at Innovetive, leading to improved efficiency, time savings, and overall productivity.

The Challenge

Dr. Donaldson often faced delays of up to a month in completing her notes, creating anxiety and risk. "It was anxiety-provoking to not have the notes done. I was putting myself at risk.” she says.

The Solution

Discovery

Dr. Donaldson learned about ScribbleVet through an online community group. After a promising demo and a two-week trial, she and her colleagues decided to implement ScribbleVet and created a streamlined system.

Implementation

1. Custom Template:

Instead of using ScribbleVet's default template, Dr. Donaldson created a SOAP note template specific to her practice. This helped her reduce redundancy and manual editing.

2. PIMS Integration:

The same template was copied over to the clinic’s Practice Information Management Software (PIMS), further reducing any manual edits when transferring the notes over into the PIMS.

3. Recording Process:

Today, technicians start recording on ScribbleVet only once they’re done taking a patient’s history and are briefing the doctor. This leads to more concise output in the final note. The doctors then take the recording device into their appointment and let it record the rest of their conversation. The result is a comprehensive and complete SOAP note. "ScribbleVet records things that I would never have thought to write down, reducing my liability." says Dr Donaldson.

4. Completion and Finalization:

Once ScribbleVet has finished producing the notes, doctors make any final edits and copy them over into the PIMS.

Results

Time Savings: Dr. Donaldson saves approximately 30-45 minutes per day on documentation.

Capacity Increase: Doctors are able to see more walk-ins and emergency appointments.

Work-Life Balance: Dr Donaldson says that the biggest benefit ScribbleVet has provided her is better quality of life. Vets are now able to take regular lunch breaks. Dr. Donaldson no longer spends weekends catching up on notes.

Reduced liability: Comprehensive, on-time notes result in lower liability risk for the clinic and its corporate owners.

Conclusion

The implementation of ScribbleVet at Metro Paws Animal Hospital and other Innovetive practices has led to substantial improvements in efficiency, work-life balance, and overall practice productivity. Dr. Donaldson and her team have successfully integrated ScribbleVet into their workflow, resulting in timely and comprehensive medical documentation, reduced stress, and enhanced patient care.
